As it goes, most 21st century businesses rely on digital communication to be able to function on a daily basis; from emails and the internet, to Voice over Internet Protocol (VoIP) technology and video conferencing. Therefore, it is probably fair to say that many offices have long since relegated traditional paper-based communications and are up-to-date with all the latest technological advancements from the digital world.

Indeed, one of the greatest advantages of digital communication is the ability to store masses of information in a relatively small space which, ultimately, can save businesses a great deal of money on storage space.

But whilst there can be little doubt as to the convenience and cost-effectiveness of digital storage, great care must be taken to ensure that the data is safe from being lost or stolen, much in the same way as traditional paper-based information; however, there are some key differences.

And because most offices are ‘networked', they are potentially at risk from hackers across the world, which means confidential information could fall into the wrong hands if adequate security isn't in place. Furthermore, if digital data is stored on a small office-based server, it is possible that all information could be lost or damaged in an instant should there be any hardware malfunctions, or alternatively if the system is infected by a virus and other forms of malware.

So, despite the benefits of being able to store all communications in a digital format, it is essential to address all the potential pitfalls in advance, before the security of the data is compromised in any way.

However, ensuring the security of digital data can be both time-consuming and costly, requiring specialist knowledge and expensive equipment and technology. And for any company looking to dedicate all its resources towards revenue-generating activities, it can be easy to ignore this aspect of operations.

But business continuity is crucial within most organisations and companies rely on their information systems to be able to function on a day-to-day basis. If these systems are disrupted, then it can hinder operations in a major way; which is why it's crucial not to cut corners when handling digital data that is central to a company's ability to function properly.

And this is why many companies choose to outsource such aspects of their business to external data centres, which are able to offer secure storage facilities and dedicated support and maintenance services. This of course can ultimately save businesses time, money and resources; allowing them to concentrate on the things that they do best.
