A point of sale software, also referred to as POS software, is just like a digital cash register kept and maintained at the cash drawers or reception counters where continuous inflow and outflow of cash takes places. Unlike manual handling where the debit and credit operations are to be done at the end of the day to tally the results, POS software automatically controls the debit and credit functions of cash and inventory.
There are different criteria for selecting suitable POS software but there are some basic features which a Point Of Sale Software must possess. First and foremost, all major software operates on database entries based on a unique ID. However, the software you choose should have segregation criteria by type, category and vendors. It eases the task of the person using the software and also generates quick responses. For example, if you are dealing in a departmental store with numerous items, you cant remember the long IDs but can easily search for a particular item by entering its category or type or even the vendors name.
Secondly, the software should be able to record the date and time of all the transactions in real time. It will help in making many analytical decisions later, like those related to the sales and finance. Moreover, the software should be able to handle many modules at a time like sales, finance, inventory, etc. This facilitates the consolidation of the results of all functions at the end of accounting period, say a month.
Next and the most important, the data and results should be presented in a universal format which can be imported or exported to any compatible software or system, so that if you move to some other place or the present system poses some problems, it is easier to resume working immediately. It should be able to work along with and also support other accessories like printers, barcode scanner and all those items which are required in validating and entry of items.
Thus, ill-suited POS Software will ultimately turn out to be a headache whereas flexible and robust software will out perform your manual labor.
