If you are anything like the ordinary person who keeps a file cabinet at home to organize your personal documents and files you more than likely are lacking at least a little bit in keeping your file cabinet optimally organized. In fact most people for some reason or other think that having a file cabinet at home is half of the battle of home office organization but in reality this is simply not true. Placing mounds of papers in a filing cabinet does not in and of itself make you organized it simply transfers piles of paper into drawers. To really get organized you have to take the paperwork in your file cabinet and truly organize it so that you can find anything at a moments notice. You have to categorize your documents and delineate them by account in a logical manner. The first major tip you should follow in organizing your file cabinet no matter if it is a big 4 drawer file cabinet or a small 1 drawer cabinet is to separate your paperwork out into four categories: Obligations and Expenses, Assets and Income, Insurance and Medical, & Government and Reference Material. I actually recommend dropping your files into color coded hanging file folders for each category. Next you have to create a separate file folder for each account you have in each major category. Each file folder should have a 2-hold punch clasp holder on the inside of the folder so that you can secure routine statements on one side of the folder with newest items on top and general correspondence on the other side of the folder with newest correspondence on top. By doing this you don't ever have to worry about lose papers and it becomes easy to flip through your folders when looking for specific correspondence or statements by date. If you can take the time to sort through all your paperwork and add it to dedicated files with clasps that hold paperwork in place then maintaining records becomes a breeze and often you can cut down on the size of storage space you need because sorting through documents that are not needed and throwing out outdated material becomes very easy. Make sure to place labels or sticky notes on each dedicated file folder in your black file cabinet that way you can easily identify the correct file without pulling them from the drawer and make sure to keep each category of files in alphabetical order. If you have a taller file cabinet make sure the bottom drawers are full before the top drawers and make sure the files you access the least such as government paperwork and reference documents are in the back of the drawers rather than the front. If you do all this then you'll have a good start on the best file cabinet organization. Article Source: http://www.ArticleBlast.com |
